• How to confirm attendance

  We welcome you to our Reunion portal! You will find all the information you need about the event, as well as the shopping experience for your ticket and any guests you may want to invite. Here's a detailed step-by-step on how to confirm your attendance:
  
  

  Learn

  The Reunion site is a portal where you can get all the information needed for your visit back to Costa Rica. It includes reference information on everything from visa requirements to lodging and policies. All updates will be published on this site and adequately communicated via email and social media. You can also see who else might be attending the event so you can start getting excited with your peers!

  
  

  Buy

  On this site, you can buy tickets for yourself and your guests to this year's Reunion. Just click the "add to cart” button alongside the tickets you want to purchase. You can add as many tickets as needed and make multiple purchases. We advise using the same email address at checkout to avoid duplicating information.

  
  

  You will also see an option for the Help-A-Friend initiative. During the buying process, you can contribute to the fund, helping other Alums subsidize their ticket cost for up to $200. If you are interested in accessing the benefit, you can contact alumnicoordinator@uwccostarica.org. The availability of this benefit will depend on the amount of funds contributed by other guests and served to Alums on a first-come, first-served basis. It is applicable only for one (1) full ticket per Alum.

  
  

  Lastly, during checkout, you can give back to the college by contributing to the scholarship fund. Help-A-Friend contributions, Donations, and processing fees are not refundable. Check our policies for more information.

  
  

  Sign-Up

  This is the last step of your reservation. After finishing your purchase, you will receive access to our sign-up form. The link to the form will be available on the screen right after checkout and in your email inbox. Fill out the form to ensure the best experience possible for you and your guests during the Reunion! You will not be confirmed as a guest at the event until you complete the form.

  You can contact us with any critical update you need to communicate. We invite you to tell your peers you are coming so they get motivated to assist and reconnect with you, your class, your first and second years, and your second home in Santa Ana. Remember, a special “Early Bird” price is available until May 28, 2025.

• Ticket Refund Policy

  At UWC Costa Rica, we are committed to ensuring our community a smooth and inclusive experience. This policy outlines the terms and conditions for cancellations, refunds, special provisions for subsidized tickets, and processing fees.

  1. Scope

  This policy applies exclusively to:

  • Tickets for events hosted by UWC Costa Rica.
  • Purchases made digitally through our official platforms or on-site regarding events. 

  2. Cancellation Policy

  • Cancellation Period:
    • Cancellations made up to 14 days before the event will be eligible for a full refund (excluding processing fees, if applicable).
    • Cancellations made between 13 and seven (7) days before the event will be eligible for a 50% refund (excluding processing fees, if applicable).
    • Cancellations made less than seven (7) days before the event are not eligible for a refund.
  • Digital Events: For virtual events, cancellation requests follow the same timeline as above. 

  3. Subsidized Tickets

  UWC Costa Rica offers a Subsidized Ticket Program to provide access to events for individuals with financial need. The program operates under the following guidelines:

  • How Subsidized Tickets Work:
    • When purchasing tickets, individuals can opt to pay for a subsidized ticket, covering the cost of attendance for another person in need.
    • Subsidized ticket funds will be distributed to eligible applicants who apply for financial assistance through UWC Costa Rica.
  • Non-Refundable Policy for Subsidized Tickets:
    • Payments made for subsidized tickets are non-refundable.
    • Suppose all funds are not allocated to recipients. In that case, the remaining balance will support the event or contribute to the UWC Costa Rica Scholarship Fund, furthering the mission of access and equity.

  4. Processing Fees

  • Optional Payment of Processing Fees:
    • During checkout, customers may choose to pay the processing fees for their order.
    • This option helps cover transaction costs and supports the operational costs of UWC Costa Rica events.
  • Non-Refundable Policy for Processing Fees:
    • Processing fees paid at checkout are non-refundable, even if the cost of the ticket itself is refunded.

  5. Non-Refundable Items

  The following scenarios are non-refundable:

  • No-shows on the day of the event.
  • Tickets purchased during promotional periods explicitly marked as “non-refundable.”
  • Payments made for subsidized tickets.
  • Processing fees paid at checkout.

  6. Refund Process

  • Refunds will be processed within 10 business days after approval of the cancellation request.
  • All refunds will be issued to the original payment method, excluding processing fees.

  7. Transfer of Tickets

  If you cannot attend the event, you may transfer your ticket to another individual by notifying us at least 14 days before the event. Please include the new attendee’s details when making the request.

  8. Changes or Cancellations by UWC Costa Rica

  • UWC Costa Rica reserves the right to cancel or reschedule an event due to unforeseen circumstances.
  • In such cases, customers will have the option to:
    • Receive a full refund (excluding processing fees if applicable).
    • Transfer their ticket to the rescheduled event.

  9. How to Request a Refund, Transfer, or Apply for Subsidized Tickets

  Refund or Transfer Requests:
  To initiate a cancellation, refund, or ticket transfer, please contact us via:

  Email: development@uwccostarica.org
  Include your order number, purchase date, and reason for the request. We will notify you once we’ve received and inspected your return, and let you know if the refund was approved or not. If approved, you’ll be automatically refunded on your original payment method within 10 business days. Please remember it can take some time for your bank or credit card company to process and post the refund too.

  If more than 15 business days have passed since we’ve approved your return, please contact us at development@uwccostarica.org.

  Visa Requirements for Entry into Costa Rica (2025)

  Costa Rica's visa requirements are categorized into four groups based on nationality. Travelers should review the applicable category before planning their visit.

  Group One: Visa-Exempt for Up to 90 Days

  Citizens from these countries can enter Costa Rica without a visa for stays of up to 90 days:

  Additional Considerations:

  • Yellow Fever Vaccination: Travelers arriving from certain countries in South America and Africa must present a valid yellow fever vaccination certificate.
    
    

  Insurance
  

  UWC Costa Rica does not provide medical or travel insurance. We recommend that all participants consider their international medical insurance or purchase comprehensive travel insurance for the duration of the stay. During Reunion, there will be an on-call paramedic; however, any major emergency will be referred to external services.
